Working with communities
Day-to-day activity in a community should be monitored by the moderator. However, there are still a few tasks that should be left to the Custodian.
Changing the community owner
If the owner of a community leaves the company or changes positions, you may wish to assign ownership to another user. To do this:
1 Find the desired community and double-click the name or click Edit Community on the Custodian Directory Search form.
2 Click Change Owner.
3 Find the desired user on the Custodian Search form.
4 Click Change Owner.
Subscribing a user
If you would like to place an alias of the community on one or more users' FirstClass Communities home pages, then you can subscribe them.
1 Find the desired community and double-click the name or click Edit Community on the Custodian Directory Search form.
2 Click Add Subscriber on the Custodian Community Information form.
3 Select the type of search (by userID or user name).
4 Enter the search criteria and click Search.
5 Click each user you wish to add. A pin icon will appear beside their names. Once all the users you wish to subscribe have been selected, click Add Subscriber.
An invitation will be sent to them through the My Invitations section of their home page.
Removing a subscriber
1 Find the desired community and double-click the name or click Edit Community on the Custodian Directory Search form.
2 Click Add Subscriber on the Custodian Community Information form.
3 In the Info section, mark the users to remove by clicking on them. A push pin appears beside each name you mark.
4 Click Remove Subscriber.
Adding a moderator
1 Find the desired community and double-click the name or click Edit Community on the Custodian Directory Search form.
2 Click add Moderator on the Custodian Community Information form.
3 Select the type of search (by userID or user name).
4 Enter the search criteria and click Search.
5 Click each user you wish to make a moderator. A pin icon will appear beside their names. Once all the users you wish to make moderators subscribe have been selected, click Add Moderator.
Removing a moderator
1 Find the desired community and double-click the name or click Edit Community on the Custodian Directory Search form.
2 Click Add Moderator on the Custodian Community Information form.
2 In the Info section, click the name of the moderator you wish to remove. A push pin appears beside the name you select.
3 Click Remove Moderator.
Adding a mail alias
The mail alias of a community is an alternate email address for the community. By default, the community email address is community_name@serverdomain.com. If this name is too cumbersome, you can use this feature to shorten the alias.
1 Find the desired community and double-click the name or click Edit Community on the Custodian Directory Search form.
2 Click Add Mail Aliases on the Custodian Community Information form.
The Mail aliases field will become editable.
3 Enter the new mail alias.
You can enter multiple aliases if you separate them with a comma.
4 Click Save Changes.
Renaming a Community
To change the name of a community after it has been created:
1 Find the desired community and double-click it or click Edit Community on the Custodian Directory Search form.
2 Click Rename Community on the Custodian Community Information form.
The Community name field will become editable.
3 Enter the new name.
4 Click Save changes.
This is the preferred method of renaming a community, as it changes the name on all subscriber Desktops as well. Note that it may take some time to go through the changes for every user, depending on the size of your system.
Changing the community type
When a community is created, it is assigned a type. It can be:
Public All users can view and contribute to the community.
Private Only community members can open the community. Nonmembers must request a membership if they wish to view content.
Public Read Only All users can view the community but cannot contribute to it.
Secret Users who are not part of this community cannot find the community as it is limited to a specific group of users who must be invited to join.
To change the community type:
1 Find the desired community and double-click the name or click Edit Community on the Custodian Directory Search form.
2 Click Change Community Type on the Custodian Community Information form.
2 Choose the desired type of community for Community Type.
3 Click Save Changes.
Inviting people to the community
If you are a Power Custodian sending an email message invitation, make sure the message has already been prepared on the Custodian Search form.
To send an invitation to somebody to join the community:
1 Click Invite new member.
2 Complete the Invite People section of the Custodian Community Information form.
If the person already has an account, enter their user name. Otherwise enter their email address.
Invitations should always be sent to a user's user name on FirstClass Communities if one exists. If you send an invitation to an existing user's email address and they accept your invitation, the system will create a new account for them with limited permissions.
Changing the community icon
To change the icon associated with the community:
1 Find the desired community and double-click the name or click Edit Community on the Custodian Directory Search form.
2 Click Change Community icon.
This makes the icon field editable.
3 Click the icon image to reveal the list of possible images.
4 Choose the desired image.
5 Click Save Changes.
You may wish to choose one of the icons from the latter part of the selection set, as these are typically FirstClass Communities-type icons.
Changing the community description
The community description tells others what your community is about before they join. To edit the description:
1 Find the desired community and double-click the name or click Edit Community on the Custodian Directory Search form.
2 Click Change Community About.
This makes the About field editable.
3 Edit the description and then click Save Changes.
